Many restaurant owners will be approached by people wishing to use part of their establishment to host a party. If they love the food at the restaurant, they will honor you by asking if you can help them with the arrangements. For many people, this is much easier than preparing the foods for the occasion on their own. Since there are many different reasons to host a party, you may be approached about this quite often.
Some restaurant owners are very willing to accommodate such requests and you will have to decide if that is something you are interested in doing. You may want to think about this when you are designing your restaurant as well. This can definitely help you generate more business for your restaurant if you have it planned out well. Some of the guests may not have been to your restaurant before but they will come back after the experience if it is a good one.
You definitely want to have a way to segregate the party from the rest of your guests at the restaurant. This way those at the party can have their fun in a more intimate setting. Your other guests won't feel so bothered by what is taking place around them either. It is a good idea to have some set rules in place for the use of the area to host a party at your restaurant as well. This way both you and the guests will know what can be expected to take place.
While you do have the right to charge them a fee for using the area of your restaurant, you will find it books faster if you don't. You will still make a good profit from the amount of food and drinks that those in attendance are purchasing. Find out if the host will be footing the bill or if each guest will be paying for their own. You may want to offer a discount if one person is paying for it. Make sure you include a nice gratuity for the staff taking care of them as well.
It is very important that you have extra staff on hand when there are parties taking place. Have some of them dedicated to serving them and preparing the meals for them. This way the other staff can still take care of the needs of your regular customers. You certainly don't want their dining experience to be less than it should be just because you have a party taking place on site.
The process for booking the parties needs to be carefully considered. It is best if only one or two people are in charge of it. This way problems with scheduling can be avoided as much as possible. You don't want to create issues for those that have trusted you to help them have a very successful party.
While booking the party, make sure you get a name and a contact number. You also need to find out how many people to expect for the event. This is going to help you be prepared in the kitchen and with your wait staff. You may have a time limit for the parties in your restaurant or you can allow them to tell you how much time they will need to complete it. Generally a couple of hours at least should be allotted.
The menu is also something that needs to be discussed for the party. Find out if they want the entire menu to be offered to the guests or not. If the host is paying for everyone, they may want to offer one or two items off the menu. You can also discuss price discounts with them to make it more affordable while still profitable for you. The more effort you put into helping them with the details of the party, the more they will appreciate your efforts and recommend your restaurant to others.
